Prospect research quality guide
A prospect-list quality checklist before you start outreach.
A spreadsheet can be well formatted and still contain the wrong businesses. Use this checklist to assess whether the rows match your brief, have support from public sources and give you a credible reason to make contact.
Check the brief before judging individual rows
Keep the original audience, offer, geographic permission, requirements and exclusions beside the list. A row is useful in relation to those criteria. A legitimate business may still be wrong for your campaign.
Confirm the actual category and services from the source. A company name containing commercial
is not enough to establish a specific commercial service. A result found through a city search may be located elsewhere. A branch and a parent company may need different handling.
For every mandatory condition, ask where the evidence is. If a condition is unclear or contradicted, hold the row for further review rather than letting a high score override the problem. Geographic permission should be judged against what was agreed, not what would make a row easier to accept.
If you have not written a brief yet, start with the B2B prospect-list guide and template. Otherwise you may be judging the research against expectations that were never specified.
Distinguish public, usable and permission-based contacts
These terms answer different questions. Public describes where the contact was observed. Usable means it offers a practical way to reach the business for your intended purpose. Permission concerns whether a particular contact method and message are appropriate and authorized.
A phone on a business's own contact page supports a public business contact. It does not prove who will answer or whether that person buys your service. A listed email address does not guarantee deliverability or a reply, and it is not evidence that the recipient subscribed to a campaign.
Check whether each contact belongs to the right business and location. Watch for directory support addresses, website-vendor contacts, an unrelated social account or a source URL incorrectly presented as the business's own website.
For Prospect Signal, every new delivered row requires a public business phone. Public business email, an official website, additional phone numbers and other contact paths depend on what research finds. A blank optional email is different from a fabricated email or a missing field that your order explicitly required.
Read what the evidence supports and what the score means
The source URL should help you inspect the public basis for a row. The evidence note should explain the relevant observation. A claim such as needs help
is too vague on its own; a useful note connects a specific public fact to the proposed offer.
Be careful with negative claims. A page failing to load does not prove there is no website. A contact form absent from one page does not establish that no booking or contact form exists anywhere. Claims of absence need appropriate research rather than a quick inference.
A confidence score needs a definition. In Prospect Signal, it expresses the researcher's assessed suitability for the order and offer. It is not a forecast of purchase probability, verified budget, contact deliverability or guaranteed revenue. Read the explanation and material limitations alongside the number.
The suggested opener should preserve that distinction. Your site lists commercial maintenance
may be supported. You are losing customers and need a replacement provider
requires information a public prospect list generally cannot establish.
Use this review checklist
Use ready, needs research or exclude as your own review outcomes. These labels are a personal worksheet, not additional fields in the delivered CSV. Inspect a spread of rows across the list before planning outreach at scale, then check each prospect you intend to contact.
| Check | What to inspect | When to hold or exclude |
|---|---|---|
| Audience | Business category and relevant public service pages. | The business is the wrong kind of buyer, a competitor instead of the requested audience, or the match is unproven. |
| Geography | Sourced business location and the permitted search area. | The business is outside the purchased boundary, or location was assumed from a search term. |
| Requirements | Evidence supporting every mandatory condition. | A required condition is unsupported or conflicts with a reliable source. |
| Contact identity | Public business phone and any listed email or contact page. | The contact belongs to a directory, vendor, unrelated business or wrong branch. |
| Source quality | Whether the URL identifies the actual business and supports the note. | The source is unrelated, missing or insufficient for the claimed fact. |
| Offer relevance | The connection between the observation and the service being offered. | The explanation is generic, contradictory or invents buying intent. |
| Duplicates | Name, domain, phone, location and your existing CRM. | The same business is counted twice without an agreed reason for separate locations. |
| Opener | The claim made in the proposed first message. | It mentions an unobserved problem, fabricated relationship or unsupported outcome. |
Keep a short review note
Document the issue in a way another person can act on. Bad lead
is difficult to investigate. The company's locations page places this branch outside the selected state
, with the URL and row reference, is specific.

Separate invalid research from a declined offer
A business that matches the brief may still decline, have no budget or prefer an existing provider. Those are sales outcomes. A wrong-category business, duplicate, out-of-area location or unsupported mandatory condition is a research-quality issue.
Track both. Research issues point to corrections in selection or evidence; sales outcomes can inform your offer, message and timing. Neither a high confidence score nor a large spreadsheet guarantees customers.
Prospect Signal's replacement policy covers invalid delivered rows, including duplicates, rows outside the approved geography, obvious irrelevance to approved criteria or no usable public contact path. Contact support with the affected row and the specific issue. A prospect declining your offer does not by itself make the research invalid.
